Step-by-step Requirements and Setup Essentials for New Club Accounts
The Club Settings section allows you to customize the core information and preferences of your Cannabis Club. This is where you define how your club appears to members, manage application flows, and set up internal user access.

Club Details
Access Club Details

In the left-side menu, scroll down to Settings

Click on “Club Details”
This section allows you to define your club’s identity, manage membership tiers, and upload your club logo.
Membership Tier
Membership Tiers represent different levels of club membership.
They are used to:

Set monthly cannabis allowances based on legal age restrictions

Define different pricing options
-
Tailor membership to varying needs and consumption patterns
You can create multiple tiers depending on how your club wants to operate and serve its members.
Add a Membership Tier
Click on “Add new” in the Membership Tiers section.
You’ll be asked to fill out the following:

Name – Name of the tier (e.g., Basic, Premium)

Monthly price – Cost of the tier in euros (€)

Flower monthly limit (under 21 y.o.) – Set a max of 30g/month
-
Flower/Hashish monthly limit (21 y.o. and older) – Set a max of 50g/month
-
Membership tier details – Add internal notes or conditions for this tier
-
Tier visibility on application form – Choose whether the tier is Visible or Hidden from the public application form
Click Add to save.
⚠️ Limits are defined in accordance with KCanG Law:
Up to 30g for members under 21
Up to 50g for members 21 and older
Upload or Update the Club Logo
On the right side of the Club Details page, you'll see the Club logo section.
You can:

Click Upload to add an image

Click Remove to delete the current logo
The logo will be used in your membership cards and internal views.
Membership Card
The Membership Card is a digital identification card issued to verified club members. It serves as proof of membership in your cannabis club and includes key details about the member and their club.
Configure or Preview the Membership Card

In the left-side menu, go to Settings

Click “Membership card”
Here you can preview how your club’s digital card will appear to members.
Membership Cards Sent to Members
As soon as a member’s status is changed to “Verified”, the system:

Generates a personalized membership card
-
Sends it automatically via email to the verified member
Members do not receive a card if their status is still pending, declined, or canceled.
Information Contained in the Card

Club name and registration number
-
Member name
-
Membership tier (e.g., Silber)

Member since date
-
QR code for identification
-
Club logo (if uploaded under Club Details)
The bottom of the card includes a legal disclaimer confirming the member’s official affiliation with a cannabis club in Germany.
Application Form
The application form is used to collect personal, legal, and contact information from individuals who wish to become members of your club.
Access and Configure the Application Form

In the left-side menu, go to Settings

Click “Application form”
Configurations on the Form
In the Configurations section, you can define the following:

Application form status
Set the form as Open or Closed to control whether new members can apply. -
Age requirement for your members
Choose between:-
Older than 18
-
Older than 21
-
Between 18 and 21
-

Actions when member limit is reached
Decide what happens when your club reaches its maximum capacity:-
Automatically add to Waitlist

Close the application form
-

Identity proof requirement
Toggle whether it is mandatory for applicants to upload a proof of identity and registration address (e.g., photo, scan of ID).
If not required, it will be marked as optional. -
Welcome text
Add a custom welcome message in:-
English

German
-
These texts will appear at the top of the application form and help guide applicants through the process.
Add Custom Questions to the Form
Under “Additional questions for your applicants”, click “Add new” to include optional questions.
This allows you to:

Better understand new members
-
Gather club-specific insights (e.g., motivations, preferences)
Preview the Form Before Sharing
Click the green “Preview form” button in the top right to see how the form will appear to applicants.
This view is read-only; submissions cannot be made from preview mode.
Share the Form
Click the “Share” button to copy the public application link.
You can distribute it via email, website, or social channels.
User Management Access
Difference Between a User and a Member

Users are people who have access to the club administration platform (e.g., Founder, Manager, Employee) and can manage the system.

Members are individuals who have applied (or been added) to join the club and participate in its activities, but do not have access to the system interface.
✅ In short: All users are members, but not all members are users.
Access User Management

In the left-side menu, go to Settings
-
Click “User management”
Add a New User
Click the green “+ Add user” button in the top right corner.
Before you can assign someone as a user, they must first be added as a club member.

Once the person is a member, you’ll be able to grant them a role and assign access to system modules.
Details Shown in the User List
The table provides an overview of all users, showing:

Name
-
Role (e.g., Founder)

Modules access (Club, Cultivation, Dispensing)

Last activity date
You can also search for users using the search bar at the top of the list.
Available Modules
Each user can be given access to specific system areas, depending on their role:

Club – Member management, documents, legal info, and settings
-
Cultivation – Tools and tracking for cannabis growing operations
-
Dispensing – Interfaces for recording and managing distribution to members
The “Founder” role has full access by default.
