How to get Plants into Cannavigia?
A step-by-step guide to introducing seeds, seedlings, and clones into Cannavigia so you can start tracking your plants under Cultivation > Plants.
Before your plants appear under Cultivation > Plants, you need to bring them into Cannavigia. This typically involves three steps: creating an Article (of type Seed or Plant), performing a Goods In to receive the physical batch, and - if a release process is configured - releasing the batch through Quality Control. Once released, your seeds, seedlings, and clones will be visible in the Plant Inventory and ready for cultivation.

Steps to add Plants into the Cannavigia software
Step 1: Create an Article (Seed or Plant type)
Before you can receive plants or seeds via Goods In, you must have a corresponding Article defined in the system. Go to Inventory > Articles and create a new article. For the article to appear in the Plant Inventory, it must be of type Seeds or Plants (for clones, cuttings, or seedlings). Make sure to also link the correct Cultivar so that Cannavigia can properly associate the plants with their genetic information.
If a release process is required for the article (e.g., for regulatory compliance), make sure to enable the Release Process toggle in the Quality tab of the article configuration. You can also define release specifications and, optionally, require approval by a second individual.

Step 2: Perform Goods In
Once the article exists, navigate to Inventory > Goods In to create a new Inbound Delivery. During this process, you will add the article batch for your seeds, clones, or plant material, specifying quantities, storage area, batch ID, and other relevant details. After all batches are entered, click Receipt in batches to finalize the delivery.
What happens after receipting in:

- If the article does NOT have a release process enabled: the batch status is immediately set to Released and the batch becomes available in the Plant Inventory (Cultivation > Plants)
- If the article HAS a release process enabled: the batch status is set to Testing and the batch is sent to Quality Control (Quality > Quality Control) for review before it can be used

Step 3: Release the Batch (if applicable)
If the article was configured with a release process, the batch will appear in Quality Control (Quality > Quality Control) with a status of Testing. Here you can record test results, take samples, and upload documents. Once all criteria are met, a user can release the batch — changing its status from Testing to Released. If the second approval option is enabled, an additional user must confirm the release.

Step 4: Find Your Plants in the Plant Inventory
Once your batch is released, navigate to Cultivation > Plants. Here you will find three tabs in the Plant Inventory: Seeds, Clones, and Seedlings. Your newly received article batches will appear in the corresponding tab based on the article type you created.

What to Do Next: Starting Cultivation
Once your seeds, clones, or seedlings are visible in Cultivation > Plants, you can start the cultivation process. Depending on the type of plant material, you have the following options:
- From Seeds: Germinate your seeds to create a new plant batch. See: Manage and Germinate Seeds
- From Seedlings: Use your seedling batches to create a new plant batch or add plants to an existing batch. See: Track and Manage Seedlings
- From Clones: Use your clone batches to create a new plant batch or add plants to an existing batch. See: Manage Clones
- From an Article Batch: You can also add plants to a plant batch directly from the batch itself. Open the article batch detail view, click Actions, then choose either Add plant to plant batch (to add plants to an existing batch) or Create plant batch (to start a new one).
Note: Articles, areas, and tasks must be pre-entered individually in the system before they can be selected from drop-down lists during the Goods In or cultivation setup processes. Make sure all necessary configurations are in place before starting.
