Guide to QR Code and Label Printing
This guide serves as a central resource for generating and managing QR codes within the Cannavigia system. By physicalizing digital data through labels, you ensure seamless traceability from the facility floor to the digital records
QR codes are a key component of Cannavigia's traceability system. By attaching labels to physical assets, inventory, cultivation areas, and production batches, users can quickly access information and perform actions directly through the Cannavigia mobile app.
Scanning a QR code allows users to identify an item instantly, reduce manual data entry, improve operational efficiency, and maintain accurate records throughout the production lifecycle.

QR Code Benefits & Cannavigia App
Benefits
Cannavigia is built around physical traceability. QR Codes create a direct connection between real-world objects and their digital records within the platform.
Using QR Code labels helps organizations:
- Improve operational efficiency
- Reduce manual data entry errors
- Enable faster data collection
- Simplify employee workflows
- Improve inventory visibility
- Support regulatory compliance and audit readiness
- Maintain complete traceability throughout the production lifecycle
Rather than manually searching for records, users simply scan the QR Code to access the correct item instantly.
Cannavigia App
Once QR Code labels have been printed and attached to physical objects, employees can use the Cannavigia App to scan them directly from their mobile device.
Scanning can be used to:
- Open a Plant Batch while standing in the cultivation area
- Record cultivation activities
- Open a Project
- Access an Area
- Identify Equipment
- Select Containers during harvesting or manufacturing
- Track inventory movements
- View batch information
- Perform operational tasks directly from the field
This eliminates the need to manually search for records and helps ensure data is captured accurately in real time.
Print Center - How to Print QR Code Labels
The Print Center is the central location for generating, managing, and printing QR Code labels in Cannavigia.
There are two ways to create QR Code labels:
- Directly from the Print Center (ideal for when you need to print multiple labels at once)
- From the record itself (for example, from a Plant Batch or Area)
Regardless of which method you use, all generated labels are managed through the Print Center.
Generate QR Codes from the Print Center
Step 1 - Accessing the Print Center
You can open the Print Center by either:
-
- Navigating to Facility → Print Center

- Clicking the Print Center button in the top-right corner of the navigation bar.

- Navigating to Facility → Print Center
Step 2 - Create a Print Selection
Click + New Print Selection (top-right corner of the page) to open the Print Center window.

Step 3 - Select the QR Code Type
Choose the type of QR Code you would like to generate.
Examples include the below (jump to Types of QR Codes to understand the recommended use for each):

Step 4 - Search for Records
Click "Search", after selecting the Type of QR Code to locate the records you want to print.
You can optionally filter results by:
-
- Creation date
- Search term
Select the desired records and click Add to Selection.
The selected records will appear under Your Selection.

Tip: Hold Shift to select a range of consecutive records, or hold Ctrl (or ⌘ Command on macOS) to manually select multiple non-consecutive records.
Step 5 - Configure the Label
Choose:
-
- The label format
- Which information fields should appear on the printed label
The available fields depend on the selected QR Code type.
Optionally, assign a name to your print selection

Tip: Assign a descriptive name to your print selection before printing. While optional, this is recommended when printing labels in bulk, as the Print Center keeps a history of all generated print selections. Meaningful names make it much easier to identify and reprint the correct label set later.
Step 6 - Print
Finally, click Print Selection. Cannavigia generates the labels and opens them in a new tab, where they can be:
-
- Previewed
- Downloaded as a PDF
- Printed directly.
Generate QR Codes Directly from a Record
Many records include a Print Label action.
For example:
-
- Plant Batches
- Areas
- Equipment
- Projects
- other supported objects
It may show up as a QR Code symbol:

Or though clicking on Actions and then Print Labels:

When selecting Print QR Code / Label, the chosen record is automatically added to the Print Center.
From there, simply:
-
- Choose the label format.
- Select the fields to include.
- Click Print Selection.
This is the fastest option when printing labels for a single record.
Managing Generated Labels in the Print Center
After generating labels, the Print Center allows you to:
-
- Open labels as PDF files
- Download labels
- Print labels
- Delete outdated print selections

Regularly removing unused labels helps keep the Print Center organized.
Types of QR Codes

Cannavigia supports QR Code labels for many different record types.
Each QR Code links directly to its corresponding record, allowing employees to quickly identify the correct item and perform actions using the Cannavigia App.
Projects
Purpose:
Identify and manage cultivation or production projects throughout their lifecycle.
Recommended Use:
Attach labels to project documentation boards, cultivation areas, or project-specific workstations.
How to Print:
Project QR Codes can be printed either directly from the Project record or through the Print Center by selecting Projects as the QR Code Type.
For more details on cultivation Projects, go to Create and Manage Cultivation Projects
Areas / Subareas
Purpose:
Identify cultivation rooms, drying rooms, storage locations, laboratories, manufacturing rooms, and other facility areas.
Recommended Use:
Attach labels at the entrance of each area so employees can scan them before recording activities.
How to Print:
Area QR Codes can be printed either directly from the Area record (select the area you want -> click Actions -> Print QR Code) or through the Print Center by selecting Areas as the QR Code Type.
Plant / Harvest Batches
Purpose
Provide instant access to a cultivation batch throughout its lifecycle.
Recommended Use
Attach labels to plant tables, cultivation rooms, growing trays, harvest batches. This allows employees to quickly scan the batch before recording cultivation and post-harvest activities.
How to Print
Plant Batch QR Codes can be printed either directly from the Plant/Harvest Batch record or through the Print Center by selecting Plant Batches or Harvest Batches as the QR Code Type.
Plants (Plant Batches)
Purpose
Identify individual plants within a Plant Batch, enabling plant-level traceability and allowing employees to perform actions on specific plants rather than the entire batch.
Recommended Use
Attach labels directly to individual plants or their pots when plant-level identification is required. This is particularly useful for recording activities, inspections, or movements that apply to selected plants within a Plant Batch.
How to Print
Plant QR Code labels can be printed either directly from the Plant Batch record by selecting the desired plants or through the Print Center by selecting Plants (Plant Batches) as the QR Code Type.
Equipment
Purpose
Identify equipment used throughout cultivation and manufacturing.
Recommended Use
Attach labels directly to the equipment so maintenance/cleaning records, inspections, and operational information can be accessed instantly.
How to Print
Open the equipment record and use Print Label, or generate labels through the Print Center.
Containers
Purpose
Identify containers used to store harvested material, intermediate products, or finished goods throughout cultivation, manufacturing, and storage processes.
Recommended Use
Attach labels directly to each container to enable quick identification and simplify inventory movements, manufacturing activities, and storage management using the Cannavigia App.
How to Print
Container QR Code labels can be printed either directly from the Container record or through the Print Center by selecting Containers as the QR Code Type.
Additional QR Code Types
Depending on your Cannavigia configuration, QR Codes can also be generated for many other record types, including inventory items, articles, storage locations, and additional operational entities.
The printing process remains the same regardless of the selected type.
Best Practices
To get the most value from QR Code labels:
- Attach labels immediately after printing.
- Place labels where they are easily visible and scannable.
- Use durable labels appropriate for the environment.
- Keep labels clean and undamaged.
- Regularly delete obsolete print selections from the Print Center.
- Train employees to scan QR Codes instead of manually searching for records.
